Team Assistant – Creative and Digital Teams

Fenton is a remote-forward agency.  Employees work from their homes within a 35-mile radius of our four strategic hubs: New York City, Washington DC, Los Angeles and the Bay Area regions and also have the opportunity to gather in-person in a shared workspace.  

We are seeking a highly organized and dynamic Team Assistant to join our Creative and Digital teams. This role is pivotal in ensuring smooth operations, providing support in various administrative and organizational tasks. The ideal candidate will be a proactive team player with excellent communication skills and a keen eye for detail.

Essential responsibilities include, but are not limited to:

  • Scheduling Support: Provide assistance in scheduling meetings to ensure seamless coordination of meetings and deadlines.
  • Organizational Skills: Assist in the organization and management of creative assets, maintaining a systematic approach to handle digital files and documents.
  • Document Creation: Setting up Google Docs/Slides/Sheets. Maintain a general familiarity with creative tools and image file types, such as Adobe Creative Cloud.
  • Meeting Participation and Note-Taking: Actively participate in the weekly Creative or Digital Capacity calls. Responsibilities include listening and taking notes to capture key decisions and action items.
  • Forecast Updating: Post-meeting, update the Kantata forecast to reflect discussions from the Creative Capacity call. Ensure that the workload and project forecasts are updated and as accurate as possible.
  • Request / Traffic Monitoring[1]: Monitor traffic emails and flag any that remain unanswered
  • Process & File Management: Ensure a comprehensive grasp of creative workflows, focusing on project intake and file exportation. Assist both creative and non-creative team members with inquiries about file retrieval, submission of creative requests, file version control, and overall process navigation.
  • Invoice & Vendor Management: Diligently update, track, and maintain records of vendors and freelancers. Manage invoices and provide administrative support for vendor and freelancer inquiries.


  • Proven experience in an administrative or assistant role, preferably within a creative or dynamic team environment.
  • Excellent organizational and time-management skills.
  • Strong communication and note-taking abilities.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Basic knowledge of or willingness to learn creative software and tools, such as Adobe Cloud.
  • A team player with a positive attitude and strong problem-solving skills.

  • We have adopted a hybrid remote/in-office worksite model. You have the option to work remotely from your home and will travel to Company meetings/events as needed, or you can work from any one of our shared office locations.  When business related travel is required, it will be approved in accordance with our standard Travel and Expense policy. All travel plans and cost must be approved in advance.
